General Description:

The HR and Administration Officer at Viaservice Limited is responsible for delivering human resources and administrative support to ensure the company’s efficient operations. The HR and Administration Officer will supervise and coordinate the administrative function while driving HR excellence, ensuring compliance with regulatory standards (excluding tax matters). This role includes handling all HR-related issues, managing office administration, handling procurement and other related duties

 

Roles and responsibilities.

  • Manage core HR functions, including recruitment (job postings, interviews, onboarding), employee relations, performance management, and HR policy implementation, contract management

  • Oversee overall office administration to ensure smooth operations.

  • Maintain accurate HR records, including employee files, attendance, and performance documentation

  • Administer employee benefits, payroll processing, and attendance records, ensuring accuracy and compliance with labor laws.

  • Handle employee relations, including conflict resolution, performance reviews, and disciplinary actions, fostering a positive workplace culture

  • Coordinate training and development programs to enhance employee skills and engagement.

  • Collaborate with management to align HR and admin processes with organizational objectives.

  • Stay updated on HR trends, labor laws, and administrative best practices to recommend improvements.

  • Ensure full compliance with legal and regulatory requirements (excluding tax matters), including but not limited to business licenses, NSSF, WCF, OSHA, foreign employee permits, fire safety, and labor laws.

  • Oversee daily office operations, including supplies management, vendor coordination, and facility maintenance.

  • Supervise the receptionist

  • Manage incoming and outgoing calls, emails, and physical mail correspondence.

  • Oversee procurement functions and maintain proper inventory and storekeeping.

  • Support budget tracking and expense reporting for administrative and HR-related activities

  • Manage petty cash and office expenses, ensuring proper documentation and accountability.

  • Maintain accurate data management and record-keeping systems.

  • Coordinate travel arrangements for employees and management.

  • Provide administrative support to various departments as required.

  • Perform any other duties assigned from time to time.

 

Qualifications and Education Requirements

Required Education:

  • Bachelor’s degree in public administration, Business Administration, Human Resource Management, or a related field.

  • Certification in Secretarial Services is an added advantage.

 

Required Experience & Competences:

  • Minimum of three (3) years of experience in HR and administration.

  • Expertise in HR and Administration

  • Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook).

  • Strong organizational, planning, and time management.

  • Excellent customer service, interpersonal and verbal and written, communication skills

  • Strong teamwork and collaboration skills.

  • Problem solving, multitasking and decision-making
